POSITION SUMMARY:

TIME LIMITED END DATE:              One Year from Date of Hire (Extension is subject to renewed funding)

Reporting to the VP, Leadership Development the Program Assistant, using independent judgment to set priorities, and adjusting as necessary to meet department deadlines and goals, provides accurate, timely and effective administrative support functions for Federation’s Leadership Development professionals and the department’s range of programming.

DUTIES:

  • Support the VP of Leadership Development, and provide administrative support to overall Leadership Development (LD) program operations including CLI, PDI, The Network, Brawerman, and department committees
  • Maintain VP’s calendar and the calendars related to programs of the LD department
  • Manage regular contact with donors, mentors, participants and other LD constituents.
  • Manage and organize LD files, supplies and materials.
  • Process check requests and VP expense reports.
  • Arrange meetings and conference calls including securing space, coordinating catering and A/V.
  • Manage event registration and attendance.
  • Maintain donor management system files including building reports and participant data analysis.
  • Develop and manage data collection and reports for all things related to LD programs and committees (e.g. evaluations, admissions processes, information collected during events etc.)
  • Draft correspondence, letters, emails and invitations.
  • Work closely with event Coordinator on contracts, outside vendors, and organizational and logistical needs for LD
  • Meet regularly with supervisor and other relevant departmental staff.
  • Assist with Leadership Development department projects as needed
  • Develop and manage processes and procedures for day to day department functionality
  • Serve as a liaison and resource for other members of the team (e.g. institutional knowledge sharing)

ADDITIONAL DUTIES:

Be available to supervisor for additional assignments, as required, including assisting with the Campaign.

EDUCATION & EXPERIENCE REQUIRED FOR POSITION:

  • BA or equivalent preferred. 2-3 years of responsible administrative or related experience.
  • Must have excellent organizational, interpersonal and communications skills, both verbal and written.
  • Must be detail oriented and proficient in Microsoft Word, Excel, Outlook, database programs and the internet.
  • Extremely organized, flexible, highly motivated, able to prioritize with supervisor and multitask.
  • Must be able to work well in a very busy fast paced environment.
  • Knowledge and appreciation for an increasingly diverse LA Jewish community and Jewish life a plus.
  • A hybrid work model will be implemented for certain positions during transition back to worksite(s). This position must report to worksite on non-remote workdays, as determined by the Federation. Once the transition is complete, this position will be expected to perform work on site.
